browse for program you want to run, normally \BIKETECH\BIKETECH.EXE. Then

code and a WSID name (see Utilities, Defaults, Workstation other defaults).
SETTING DEFAULT SETTINGS
There are many settings you can configure to suit the way you like to

%% , 220, 0, INVOICE-TO / DELIVERY OPTIONS
This is when you want to invoice to one Account and deliver to a
different Account but keep the sales history on the Delivery Account.
(ie: Invoicing to Branch's Headoffice or to certain Finance Companies)
Enter the Transaction using the Delivery Account, then when selecting
F4-Print you can select 'V-Invoice to different Accnt'. You can then
select one of the following options:
1.Account Inv to the INV TO Cust with Deliv address in Body of Trans
2.Account Inv to the INV TO Cust with Deliv address in Heading
(NOTE: Will only print on forms supporting Delivery address in Heading)
3.Split Inv to the INV TO Cust with Deliv address in Body of Trans
4.Internal Inv to the INV TO Cust with Deliv address in Body of Trans
5.Invoice to the original name entered
6.Press Esc to return to Print options Menu
You can also automatically invoice to a different Account for when a
Delivery account always has the same Invoice To account. To do this
enter the Cust number of the Invoice account into the INV TO field of
the Name record (F7-Options/Sales options) of the Delivery account.
If you want to keep the History on the Invoice Account but still want to
enter a Delivery address you can select F7-Options, Insert an Address.
%% , 220, 0, BALANCE OPTIONS ON INVOICES
We have new options of what Balances to show on the bottom of invoices.
1. Some Dealers do not want to show any balances, Set to None.
2. Dealers who do a lot of mailorder often require to show the total
amount the customer owes or is owed. Set to Account Balance
3. If you want to show how much of the invoice has been paid and how
much of that invoice is outstanding, Set to Balance.
Set in: Utilities/Defaults/Est&Sales system defaults.
%% , 220, 0, CUSTOMER LOYALTY CARD SYSTEM
This new system is an excellent method of increasing customer loyalty
with greater benifits and a lower costs than giving discounts.
The system requires some blank loyalty cards, a barcode reader and
a Citoh thermal barcode printer (Available from Customer services).
When you wish to give a customer a Loyalty card you go to Utilities,
Label Generator, and select Customer Loyalty card label. Enter the
customer's name and it will print a label for the card with the Name,
Barcode and expiry date that you can stick on the blank cards.
When a customer next makes a purchase with his card select a method of
payment in F4-Print and read the barcode when asked for a name. This
will automatically bring up his full details.
You can then Analyse sales and give a credit on what he has spent
(normally 1 to 5%). This credit is only available for future
sales. Normally it only needs to be calculated when and if claimed.
%% , 220, 0, MULTIPLE SALESPERSONS/TRANSACTIONS
There are now up to 36 pre-defined salespersons (1-8 & A-Z).
You can select if and when to prompt for a salesperson, at the start, at
the start with escape disabled, at the end, or No prompting so you can just
change if needed by pressing F8. Note we do not normally recommend prompting
at the end. You can have a different transaction (Invoice, Order or Estimate)
for each sales-code. These can be running at the same time and you can easily
swap between them. You can set-up several sales codes for each salesperson.
A sales-code can be selected by a letter, name or pass-code. You can come out
of Est & Sales without losing the transaction and even transfer an Invoice or
Estimate from on workstation to another.
You can set salesperson details in Utilities, Defaults, Salespersons. Note:
If you require a pass-code to select a salesperson you must enter a pass-code
for every salesperson. You would then enter the salesperson number or letter
followed by the passcode. You cannot access the same salesperson code on
two machines at the same time. The salesperson code can be the salesperson
code or the code plus unique and private passcode for security reasons.
You can change salesperson by pressing F8 and the appropriate code at any
time. Each salesperson has his own invoice screen. Another sales person can
enter his code and bring up his invoice while you are in the middle of
yours. You can enter your code again to bring back your screen.
If you press Esc in the middle of an invoice or estimate you have a new
option to temporally save what you have done. Next time you go into
Est&Sales and access the same salesperson the transaction will re-appear.
Salesperson Prompting can be set in Workstation Other defaults:
N-No prompts, F8-Change when required (Default)
B-Automatically prompt at the beginning of each transaction
S-Automatically prompt at the beginning of each transaction (Esc disabled)
A-Automatically prompt at the end of each transaction (Not normally used)
%% , 220, 0, NO QTY CONFIRMATION ON PART NUMBERS
Option to enter part numbers without having to confirm the quantity
This was designed for a much faster point of sale, especially when using
barcode readers as you do not need to confirm the quantity between each
read. You can always arrow up to the part and press enter to change qty.
If you prefer to work in the old way select Utilities, Defaults, System
settings and set Confirm part numbers to A-Always.
Other options enable the system to automatically supersede if a part has
a superseding number and no stock, also to automatically search in up to
15 alternative parts files until it finds the number entered.
%% , 220, 0, BARCODE OPTIONS FOR SALESPERSONS ETC
This enables you to complete the whole sale using a barcode reader without
even touching the keyboard. Create a part number to print a barcode for
each appropriate code, for example //8W=Salesperson W, //8P=Salesperson P,
//4A=Account sales etc..
%% , 220, 0, SEARCHING FOR PARTS
Parts are searched using the following automatic sequence:
Search for the number entered in the main part number field
If not found - Search for the number with the dashes removed
If not found - Search for the code in the 2nd part number field
If not found - Search for Alternative numbers (See Alternative parts)
If not found - Search in Manf file(s) (prompt if not auto-search)
If not found - Give message - Not Found
At the Qty entry screen, if there is a 2nd Number there is a new [F5]
option that will seach for the 2nd number in the main number. This
enables you to use the 2nd number as an additional supersesion.
If you are unsure of the Part No you can select: F7-Options, Stock
Categories. This will show a list of groups of stock. For this to work
parts must start with the first two characters of the Sample Part No.
%% , 220, 0, NEW DATA UPDATING SYSTEM
The system will now only update details at the very end of a sale. ie: If
you take a special order, or sell a vehicle with several part exchanges and
finance settlement etc., items are only updated or created when the invoice
is actually printed. The exception to this is stock quantities as these
need to be allocated immediately.
%% , 220, 0, CUSTOMER OVERDUE / ON STOP
You can set to Ignore, Warn or Force a stop if a customer is 'On Stop'
or over his credit limit in: Utilities/Defaults/GeneralSystemDefaults.
If you have set this option to force a stop you can take the customer off
stop or increase his credit limit by selecting the Name and selecting F7-
Options/SalesDefaults. You can also automatically give groups of customers
certain credit limits in Utilities, Names.
%% , 220, 0, MULTI-LINE MESSAGES
This is a new option that allows you to create and display multi line
messages. You can select the message by entering a special part number or
you can attach a message to a standard part. A message part will have '*M'
in the parts notes field. If you want a message attached to a part you must
have '*Txxxxxx' in the parts note field where 'xxxxxx' is the part number of
the message (Note The code must be at the beginning of the Notes field,
there must be at least one space after the part number and before any other
codes, also there must not be any spaces in the number).
These can be set up under 'Stock control', 'Part kits/Alt part/Messages'.
%% , 220, 0, CUSTOMER ORDERS
In Est & Sales, when you select to Special order or Back-order a part
for a customer the screen now shows a code in the location field. The
code are: (Where xx is the stock category). You can now high-light a part
and press enter to change the customer order or other details.
*SO-xx Special-order std
*SD-xx Special-order Deliver direct (To be used later)
*BP-xx Back-order Perminant
*BC-xx Back-order Cancellable after a set amount of days
%% , 220, 0, ALTERNATE NUMBERS
You can have an unlimited number of alternative numbers (these numbers
don't have to be in your stock file) and they can automatically take you to
a particular stock part. Ie: you may have a stock part for a Speedo cable
called CASP002 and you can have alt numbers of CASPHCX500, CASPHCB250N,
Genuine and Wholesalers number all referencing that part.
These can be set up under 'Stock control', 'Part kits/Alt part/Messages'.
%% , 220, 0, PARTS KITS
In addition to the kit priced kit we now have a component price kit which
does not display the kit details by just sells the components with their
individual prices. With both types of kit there must be zero quantity of
the kit number or the kit it's self will be sold. The Kit's Notes field
must have *K for Kit priced kits and *P for component priced kits. The X?
category is not required any longer.
Kits are set-up under 'Stock control', 'Part kits/Alt part/Messages'.
There must be a stock item for the kit and all of the components before
you can create a kit.
%% , 230, 0, NEW STOCK CATEGORY FEATURES
Each stock item has a Category, each category has a Group and each group
belongs to a Department. For example all Shoei helmets may have a
category called 'HS', the category 'HS' belongs to a group called
'HELMETS' and 'HELMETS' belong to a Department called 'CLOTHING'. You
should have a different category for each range of parts where you require
an easy breakdown of sales or stock or where you would normally order the
parts from different suppliers (ie: Don't give Sportex gloves and Akito
gloves the same category if you get them from different suppliers). Most
dealers would have 50-90 categories, 10-20 groups and 2-5 departments.
There is a new Category database which stores details such a meaningful
description, how the part number is made up, where to look up any
application details and comprehensive opening balances and history.
Categories can be created or selected as you create new parts. They can
be listed and edited in Stock control, Stock categories.
Genuine parts will always start with the 1st letter of their menu option
(normally the make) and then the discount code for each part.
Categories begining with Z are Non-stock parts, i.e. the stock qty will
not change and you will not be asked if you want to special order (ideal
for Postage, PDI charges etc..)
%% , 230, 0, STOCK INPUT
When you create a new part you must now select one of the pre-defined
stock categories. You can press F2 when asked for the category to get
a list of your current category descriptions or you can create a new
category on the fly, but only once you are sure that there is not an
existing category already. We have implemented this new entry method
in as it is important to have clearly defined categories for your stock.
%% , 230, 0, PART LABELS
We have improved the format of most part labels. We have also created a
user defined Z format so that users can specify exactly how they want their
labels and also enter any specific printer codes. The label generator in
Utilities now also uses these formats. See new fact sheet on Part Labels.
Label format codes
A Epson compatible printers 1 7/16” label, No Barcode
N Epson compatible printers 1 7/16” label, No prices, No Barcode
M Epson compatible printers 1 7/16” label, No Company, No Barcode
1/2/3 Epson compatible printers (smaller 6 line labels)
B Epson compatible printers (Prints Barcode using Dbarcode utility)
C Citoh EZ2 thermal label printer 25x56mm labels (Prints Barcode)
S/L/T/V Star TSP300/400 thermal label printers (Various sizes and formats)
Z User defined label format (set in Utilities, Defaults, Label codes)
%% , 240, 0, PAYMENT RECEIVED (NAMES)
If you have set salesperson prompting on you can now enter a salesperson
here. The methods of payment are now selected from a menu.

The new name lookup screen has many more data fields such as Home, work,
fax, mobile and email numbers. It also shows the previous vehicles
registered to that customer. There is a new F7-Options menu where you can
print labels, view additional sales or purchase information which can be
protected by passcode. There are no more line gaps when printing addresses.
%% , 240, 0, PRE-DEFINED CATEGORIES
The following Name Categories are pre-defined:
T-Trade customers (Will automatically bring up trade prices on any
items after a name with category 'T' has been entered. Note you can
toggle between trade and retail at the qty entry stage by <F7>.
NOTE: You must enter the name at the beginning of the invoice)
If you find prices are zero in Est&Sales it is oftem cust cat T (Trade=0)
E-EEC Sale (Prompts you to not charge vat on the invoice and also lets
  you list your EEC sales)
X-Non EEC Export. As above
A-Default Category (use for your most common type of name)
S-Supplier

%% , 260, 0, VEHICLE MAIN DETAILS
The new central vehicle database stores the details of a vehicle that do
not normally change ie: Make, Model, Eng No, Vin No, Key number, Warranty
ref, Security ref etc.. The Vehicle repair and sales records link to this
file with the Regno so it is very important that the Regno is unique.
%% , 260, 0, VEHICLE SALES
Vehicle Sales have many new features. When selling vehicles you can bring
up your current stock vehicles much faster with very large stock files and
you can toggle between the search modes (Reg, Vin or Stkno) by pressing
Enter. Once you have selected the vehicle to sell you have a menu where you
can Sell another, Take a Part Exch, or send to an Quotation, Sales order or
Invoice. Vehicle Estimates and Orders can be easily cancelled or changed
and converted to an invoice, because of the new batch updating all part
exchange stock and purchase information is created when you print the final
invoice. You can now protect vehicle costings under password.
Vehicles in stock now have an invoice number of IN-STK. Vehicles entered
on a sales order but not invoiced have an invno of IN-HND.
You can reserve a vehicle from the selling screen. This just enters the
customers number in the Sold Cust No field and warns each time you access
that vehicle in the selling screen. It does not stop anyone else over-
riding it by selling it or reserving to someone else.
From the vehicle selling screen you can produce a Quotation (Estimate),
a Vehicle Sales Order (Order) or a Vehicle invoice. Until a vehicle is
invoiced it is still treated as in stock however there is a new status
called IN-HND (in hand) which stops the vehicle being sold when it is in
a pending Invoice or Order. It is not classed as IN-HND when it is in a
pending or completed Estimate. The status IN-HND or IN-STK is stored in
the Vehicle Sales record in the INVNO field. You can swap a transaction
between Estimates, Orders and Invoices and the Vehicle status should be
updated.
You can now protect vehicle costings while selling a vehicle by enabling a
password for Vehicle profit options.
%% , 260, 0, INTERNAL ADJUSTMENTS
You can allocate both a buyer and seller for calculating commissions. You
can make internal adjustments to show the true profits on each sale and
part exchange after 'Bumping' (increasing px value for Finance deposit)
or 'Writing back' (decreasing sale and px value).
%% , 260, 0, PURCHASING VEHICLES
When buying a vehicle you now go through two main screens, the first one
is the Vehicle main details (these are the details that don't normally
change) and the second one is the details relating to the purchase.
There are new safety features to stop you entering a vehicle twice. You
can buy a vehicle by selecting 'Vehicles', 'Buy a Vehicle' or by
selecting 'Part Exchange' when selling a vehicle.
BM2000 has more detailed Vehicle purchase receipts with Payment
details and new data fields for keys / warranty code1s etc.
%% , 260, 0, NEW VEHICLE REPORTS
Vehicles now have 'One Step' reports that make it much quicker to
produce the most common reports.
There is a New report for Companies who sell to sell to customers under
several accounts (ie: Transamerica & Direct). Select Report generator,
select New or All and select 6-List by Model sold to customer.
For the listing to include vehicles sold to a different account you must
enter a code in the other account's comments field. This should be
;DT999999 (where 999999 is the customers main account number.
%% , 270, 0, REPAIRS
You can now enter or search for a repair by the customer name, Reg number
or Job number. If you enter by Name it will show all the vehicles
currently allocated to that customer with the last one highlighted so you
can select the applicable vehicle. If a Job already exists for that bike
you will then see the details, otherwise you will be prompted to enter a
job code. The Job database now has longer descriptive job codes for easier
selection and can now have their own defaults for Labour rate, fixed prices
etc. Jobs in hand are found faster and Job cards and Invoices are printed
with a lot more details and with Pre-defined messages. You can have
multiple Jobs/Engineer/Rates per repair. Once you enter the first Job you
are taken into a loop where you can enter more jobs or print a Job card.
You can enter a Repair in Repairs/Add a Repair or Est&Sales/F9-Repairs
There are several new reports including one which will give subtotals for
each engineer. If you are booking in a job for a sales vehicle you should
make sure you enter any reg no as the number that is currently in the regno
field, once you have a new reg no you should change it in Vehicles, Change
details or when selling the vehicle.
%% , 270, 0, PARTS BOOKED TO A REPAIR
When you Book parts to a job the parts are stored in the Transaction ledger
under the number W:999999 where 999999 is the repair's job number. When you
go to invoice the job the parts are brought up on the invoice and the Bin
location is changed to *RB-xx where xx is the stock category. You now have
the option to delete these lines but only on the final invoice. If you
delete a line and then abort the item will be put back into stock but will
also be brought up again when producing the final invoice.
%% , 280, 0, ACCOUNTS GENERAL
Business Manager 2000 now has a full double entry Nominal ledger. The old
system worked by listing individual transactions in the Sales and Purchase
ledgers, The new system can still work this way but in addition each entry
is also added to balances in the nominal ledger so that you can have
instant figures without re-calculating the individual transactions in the
sales and purchase ledgers. The nominal ledger also maintains the balances
for Asset and Liability accounts such as Bank balances, Money in hand etc
so that we can produce a true Profit & Loss and Balance sheet.
%% , 280, 0, BANKING MONIES RECEIVED
When you want to bank the money you have taken, the system will show
what is in each 'Money in Hand' account, you can bank as much of it as
required and the balance will be adjusted.
This can often replace the Takings Breakdown report and helps ensure
that your money and your sales takings are always correct. We normally
recommend to have Money-in-hand accounts for BACs payments received and
Contras which should balance to zero once they have been banked or Contra'd.
%% , 280, 0, PURCHASES
Purchase invoice entry is very similar, the only differences is that it
will always be allocated to a specific nominal category and code for each
item and when you pay purchase invoice(s) you must select a specific Bank
or Cash account. You can still allocate a default nominal category and
code for each name record but there are special fields for these now
instead of being coded into the Comments field (Names / F7-Options /
Purchase defaults). You can create new nominal codes when entering
purchases or by selecting Accounts / Nominal ledger / Add. The nominal
categories are pre-defined (ie: Stock purchases, Overhead expenses,
Depreciation etc).

%% , 280, 0, AUTO MONTH-END PROCEDURE
It has always been important to run several procedures immediately at
the end of each month (especially recording parts stock values and
updating monthly stock history). We have now automated this so that it
will run the first time you run Business Manager in a new month.
%% , 280, 0, NOMINAL LEDGER
Nominal codes comprise of a Type which is pre-defined (such as S-Stock
purchases, E-Overhead expenses etc.) and a codes which can be user defined
(ie: Rent, Advertising etc). Some basic codes have already been setup but
the number of codes is unlimited.
Everything you do on the system gets entered twice into the nominal ledger
(double entry). For example when you enter an electric bill it increases
the Nominal balances for 'Power and Heat' and increases 'Creditors',
when you pay that bill from your current bank account it reduces the
balances for 'Creditors' and reduces your 'Current Account' balance.
BALANCE ACCOUNTS
As you receive money (sales) or spend money (purchases) you are
automatically updating 'Balance Accounts'. There are 'Money in Hand'
balance accounts for Cash, Cheques, Debit cards, Credit cards etc.. There
are also Balance Accounts for your Bank and Petty cash accounts. When
for example you sell a Helmet and the customer pays by cheque, the
'Cheque Money in Hand' balance account will increase by that amount.
These balance accounts just store the changes in each period (month). To
calculate the closing balance we would take the opening balance and add
the changes for each period.
You can set your initial opening balances in Utilities, Defaults, Opening
Balances.

The Balance sheet, Profit & Loss and Trial Balance reports can be produced
for a variety of periods.
You now have the option to re-build the Nominal ledger from the Sales and
Purchase Ledgers. You may have to check the period changes for the Parts
Stock account.
%% , 280, 0, SALES SETTLEMENT DISCOUNTS
Settlement Discounts can be pre-set in customer details by slecting
F7-Options, Sales Defaults, and setting a discount and a number of
days. If you leave days at 0 it will default to 14 days unless you
set a settlement message in the comments line.
A settlement message is set by including a code SM;xxxxxxxxxxxxxxx in
the comments filed where xxxxxxxxxxxxxxx is the message.
Disc: Days: Comments: Results
02.25 7 Please deduct 2.25% if paid within 7 days
02.25 0 Please deduct 2.25% if paid within 14 days
02.25 0 SM;By Return Please deduct 2.25% if paid By Return
You can also set which categories DO or DO NOT attract a settlement
discount in Utilities, Defaults, General system settings.
%% , 280, 0, TRANSACTION LEDGER

LINE CODE - S-StkPart M-ManfPart N-New U-Used P-Px Y-Set A-Alownce
            W-Labour D-Disc T-Text C-KitComp K/F/E-Old codes
CAT - Normally stk cat but in repairs !x where x=Engineer
%% , 290, 0, DEFAULT SETTINGS
There are many new default settings. Most are self expanatory but the
following may need a little more explaination
Workstation Other Defaults - The Workstation code, Default Salesperson
code and WSID setting must be unique on each workstation. There must be
sufficient number of users in the licence and the Workstation code must be
one of the codes specified as available. Set if and when to prompt for a
salesperson (most dealers set to N-No prompts, if you want prompting you
would normally set to B-Before transaction.
Workstation Print Defaults - Instead of having forms of ie: P-Plain paper
with epson codes Z-Plain paper with no codes we set the form to P-Plain
L-Letterhead etc and have an additional Printer type for each form ie: 1-No
codes, 2-Epson codes. These printer codes can be set up in Printer settings
so you can change them for different printers. You can also set the pricing
options on Delivery notes, Estimates and Invoices as some people want to
produce Estimates without prices and Invoices with inclusive prices etc..
General System Defaults - You can set to Force, Warn or Ignore if the
customer is over credit limit or on-stop. You can set Confirm Menus to Y
for faster one-key menu selection. You can set 'Confirm partno' options so
you do not have to confirm part numbers with qty (ideal for Barcodes).
Est&Sales Defaults - This new section allows you to set system wide
settings that affect Est&Sales.
Opening balances - Confirm the opening balances at the start of your
financial year. If you are unsure of these it is sometimes easier to
calculate the current balances and then adjust the opening balance to make
the closing balance correct.
Balances such as Bank Balance can be calculated from the Bank statement
and then adjusted for items not yet appearing on the statement.

Salespersons - Define up to 36 different salesperson codes. Note: if you
require a passcode to be entered when selecting a salesperson you must enter
a passcode in all salespersons and when the salesperson enters the code they
must enter the salesperson code followed by the passcode.
%% , 290, 0, WORD PROCESSOR
You can now Insert or Delete lines in a Word processor document. There is
also more room now as the salutation can be automatically be added to the
end. You can also set your own printer codes, ie: fonts for different types
of printer. Can now Insert or Delete lines in a Word processor document.
You can also set your own printer codes for different types of printer.
%% , 290, 0, MANUFACTURER PARTS FILES
We only store a List price and a Discount code for each part. We set the
Discount code to the most common discount given by each supplier. If you
get a different discount from your supplier you can change the discount
code in the Manf parts files options. Current discount codes are:
A 0% Q 33% 8 80%
B 5% P 33.3% 9 90%
C/1 10% I/4 40%
D 15% J 45%
E/2 20% T/5 50%
F 25% 6 60%
G/3 30% 7 70% Other 33.3%
When you sell a Manf part or create a new stock part it will give it a
stock category. This category will normally be the first letter on the
menu for the appropriate parts file (normally the first letter of the
make), followed by the discount code for that part.
No responsibility can be taken for errors in parts files however caused.
%% , 290, 0, INDEX STD DATA FILES

analyse the information in many ways.
It is also an excellent prospect management tool that can track and
display every aspect of a potential sale.

Priority code - 1-Urgent 9-Not Urgent (5-Default)
Person Code - 1-8-Users 9-All (current user as default)
TYPE code - G-General (IE: PHONE BEFORE 5 RE: CAR REPAIR)
P-Prospect (IE: NEW ENQ - SENT COMPUTER INFO)

L-Log (IE: No action required but item logged for info)
D-Delete (IE: No action or record required)
%% , 550, 0 WORKING WITH ENTRIES IN THE TIME-MANAGER
Each person who uses the time manager can be allocated a number from
1 to 8. You can give names to the numbers by selecting Utilities/Defaults
/Workstation defauts on each machine. You can set your entries to come
up automatically by entering your number in the Unique workstation/Dept
field in Workstaion defaults. This will also tell you if you have any
entries when ever you go to the main menu.
The entries are normally displayed in the following order:
STATUS + ACTION DATE + PRIORITY
or
CUSTOMER + ACTION DATE
Time management works best if you only have an achievable amount of tasks
entered for each day. You then get more satisfaction from clearing all
the tasks to be done for that day. (you can always set the date forward
to bring in future tasks)
If you have many outstanding entries from older dates you can press Enter
and select to Bring Items Forward. This will change the dates and
arrange the jobs to do in priority order rather than in the old date order.
When the item has been completed you can press Enter (or Del) and select
Log or Delete to change the status to Log. If you do not require any
record of the item you could select Delete instead.
You can just bring up certain records by pressing [Enter] or <F10> and
selecting one of the pre-set reports or select Change Criteria to make
your own reports or displays.
You could also browse through the detailed entries by pressing Enter
twice to go into edit mode and pressing Ctrl+PgDn or Ctrl+PgUp to skip
through the records. You can print out a full data sheet on any item by
pressing F6 from the edit screen.
